The pipeline

Every company you are selling to is a card. Cards sit in the column that matches where the conversation has got to, from New Lead through to Order Confirmed.

Drag a card to a new column when things move on, or open it and change the stage there. Either way it saves straight away and everyone else sees it.

Click any card to open it. That is where the phone number, the email address and the whole history of the conversation live.

Logging what was said

Open a card and use Log a touch. Pick whether it was a call, a WhatsApp message, a meeting or just a note, write what happened, and save it.

Write what a colleague would need in six months: who you spoke to, what they buy, what they pay now, when to try again. "Called, no answer" helps nobody.

Anything you log counts as contact, so the card stops being flagged as gone quiet.

The red "no contact" flag

If nobody touches a live prospect for a while, the card gets a red flag and it is counted under Need attention on the dashboard.

This is the whole point of the system. Deals are rarely lost by being turned down, they are lost by going quiet. Work that list first.

Admins can change how many days count as quiet in Settings.

Appointments

Book a meeting from inside a prospect card, so the meeting stays attached to the company and its history.

The Appointments tab lists everything coming up. After a meeting, mark it Happened or No show, so the record stays honest.

Walk into a meeting with the card open. Every email, every call note and everything they asked about is right there.

Emails and what "opened" means

Log an email on a prospect card and you get a small tracking snippet to paste into it. After that, the card shows whether it was opened and how many times.

Treat opens as a hint, not proof. Some mail apps load images automatically, which counts as an open even when nobody read it. A reply or a click is real. An open is a nudge to follow up.

The dashboard

Every number on the dashboard opens. Tap Live prospects to see all of them, Appointments booked to see the meetings with their dates, Need attention to see what has gone quiet.

From any of those lists, click a row to jump straight into that company.

Where leads came from is worth watching. Over a few months it shows which way of finding buyers is actually working.

The success fee

A fee is only ever charged on accounts we brought in. Your own existing customers are put on an excluded list at the start and are never charged, no matter what they buy.

Each month you confirm what an account was actually invoiced. Open their card, go to Orders and success fee, and record the amount with your invoice number.

The Commission tab then shows the fee on each order and the total due, and Print statement gives you the page that comes with the invoice. Nothing is calculated from guesses, only from figures you confirmed.

Getting around quickly

Press Esc to close whatever is open. Use the search box above the board to find a company, a contact or a town.

The filters next to it narrow the board by lead source, by who owns the deal, or down to just the ones needing attention.

Everything works on a phone, so you can check the pipeline or today's meetings from anywhere.
